Conference Invitation Letter

Official Invitation Letter for Conference Participants

The International Academy of Science, Technology, Engineering and Management (IASTEM) provides official Conference Invitation Letters to eligible participants who have successfully registered for an IASTEM conference.

The invitation letter serves as an official document confirming the participant's registration and invitation to attend and participate in the selected international conference. It may be used as supporting documentation for visa applications, travel arrangements, institutional permissions, and other official purposes.

Who Can Request an Invitation Letter?

A Conference Invitation Letter may be requested by participants who have:

  • Successfully completed the conference registration process
  • Completed the required registration payment
  • Provided accurate participant and passport informationo
  • Been confirmed as a participant, speaker, delegate, or presenter, as applicable

Invitation letters are issued only after the participant's registration details and payment have been verified.

How to Request an Invitation Letter

Registered participants who require an invitation letter may contact the conference organizing team and provide the required information and documents.

The following documents may be requested:

  1. Completed Conference Registration Form
  2. Proof of Registration / Payment Confirmation
  3. Clear Copy of Passport
  4. Recent Passport-Size Photograph, where applicable
  5. Any additional information required for preparing the invitation letter

Participants are requested to ensure that all information submitted is accurate and matches their official travel documents.

Visa and Travel Support

Participants attending international conferences may require a visa depending on their nationality, destination, and applicable immigration regulations.

]The Conference Invitation Letter can be provided as a supporting document for a visa application. However, issuance of an invitation letter does not guarantee visa approval, entry permission, or successful immigration clearance.

Visa applications are reviewed and decided solely by the relevant embassy, consulate, immigration authority, or government department. Participants are responsible for checking the latest visa requirements and submitting their applications within the required timeframe.

We strongly recommend that international participants begin their visa application process well in advance of the conference.

Important Information

IASTEM and the conference organizing team can provide official conference-related documentation to eligible registered participants. However, the organizing team does not control or influence visa decisions, visa processing times, immigration decisions, or entry permissions.

In case of visa refusal, delay, or any other immigration-related issue, the final decision rests entirely with the relevant authorities.

Participants are also responsible for making their own arrangements regarding:

  • Visa and immigration requirements
  • Air travel and transportation
  • Accommodation
  • Travel insurance
  • Passport validity
  • Local travel arrangements
  • Other travel-related requirements

Processing of Invitation Letters

Invitation letters are generally processed after successful verification of the participant's registration and payment details.
Once approved, the invitation letter will be sent to the registered participant through the official communication channel provided during registration.
Participants are advised to carefully review the invitation letter and notify the organizing team immediately if any correction is required.
